Email and domains
Admin groups shared email functions under Email and domain administration under Domains. Changes here can affect the organization’s entire email flow, so confirm the domain and recipient group before saving.
Shared inboxes and distribution lists
Both are created under Email → Inboxes, but they serve different purposes:

| Distribution list | Email sent to one address should be forwarded to several members, without them working in a shared mailbox. |
When creating either one, select the local part, active domain, display name, and members. Deleting a distribution list stops delivery to that list. Deleting a shared inbox permanently removes the inbox and its history. Always confirm the address and type before deleting.
Move email to meil
Under Email → Migration, you can import email into multiple mailboxes with a CSV template. The import runs gradually in the background and shows status for each row.
- Make sure target users and mailboxes already exist.
- Download the CSV template from Admin and complete one row per target mailbox.
- Use app passwords or another least-privileged credential at the source service when it supports this.
- Review the rows before starting the import, then follow progress and errors on the same page.
- Delete local CSV files and source-service app passwords after the import has been verified.
CSV files can contain credentials. Never share them in email, chat, or support requests.
Domains
Under Domains, you can see domains available to the workspace and add the organization’s own domain. Admin shows the DNS information that must be published and the verification status.
- Add the domain in Admin.
- Create exactly the DNS records shown by Admin at the domain provider.
- Wait for DNS propagation and run the check in Admin.
- Activate the domain only once its status is approved.
A domain can affect the address from which users send and receive. Align the change internally before changing the primary domain or creating many new mailboxes.
Email security
Domains → Email security shows email-security status, domains, and alerts. Use it to follow up weak or missing configurations, not as a replacement for a complete security review.
An alert is a signal worth investigating. Open the domain or alert, compare it with the current DNS and email setup, and make changes with the correct system owner. See Security and logs for audit trails and mail-flow search.
Common problems
The domain does not verify: Check hostname, record type, and value against Admin. DNS changes can take time to become visible.
A new shared inbox cannot be created: Check that the domain is active, the address is not already in use, and the workspace has capacity on the selected plan.
Migration stops: Check the target mailbox, source sign-in, and any errors for individual CSV rows. Do not run the same import several times before checking whether email has already moved.
