Projects and areas
Under My projects in the left-hand menu you gather your own tasks. Everything here is private: projects, areas and the tasks in them are visible only to you. The heading above the list says Visible only to you, or in business accounts Own work tasks · visible only to you.
Tasks you share with colleagues live in project rooms — see Shared projects.
Project, area or heading?
The help text Project, area or workroom? at the bottom of the menu explains the levels:
| Level | Use |
|---|---|
| Project | Your own collection of tasks, for example Italy trip 2027. |
| Heading | Divides a project, for example Administration → Customers and Suppliers. |
| Area | Groups several projects by responsibility or topic, such as Administration. |
| Workroom | A shared project room with participants, chat and files (business accounts). |
Create a project or area
- Click New project or New area next to My projects.
- Type the name (1–120 characters).
- For projects: choose a Project colour — Neutral, Blue, Teal, Green, Yellow, Orange, Red, Pink or Purple.
- Press Enter (or Save on mobile).
To put a project inside an area, click the plus button next to the area (New project in {area}). The project opens straight away, and its colour appears as a dot in front of the name in the menu and on its tasks.
You can change the colour later with the cog next to the project (Set colour for {name}). Areas don't have a colour.
Rename
Click the name of the selected project or area, either in the menu or in the heading above the list, or press F2 while it's selected in the menu. Enter saves, Escape cancels. Headings inside a project are renamed by clicking the name in the list.
Headings in a project
Open the project and click New heading above the list. Give it a name, for example Customers or Suppliers. The list is then split into sections, with tasks that have no heading under Other tasks. Each section has a plus button (Add a task under {name}) that creates the task right there.
Headings are shown indented under the project in the menu, and the number next to the project counts the tasks across all its headings.
Move tasks
You can move one of your own tasks in three ways:
- drag it to a project, area or heading in the left-hand menu
- drag it to another section in the list
- open the task and choose under Move to project or heading (choose No project to take it out)
Project tasks from project rooms can't be moved into your private projects.
Counts and empty lists
The number next to each project and area shows open tasks, including those under headings and in the projects within an area. A project with no tasks shows “No tasks in this project or area yet.”
Tags and templates (beta)
When the features are enabled for your workspace:
- Tags just below the project name sets tags that every task in the project or area inherits.
- Save project as template in the View menu saves the project, with its headings and tasks, as a template. Title, notes, tags and checklist are reused; you choose dates on the new tasks. A project template can contain up to 100 tasks.
- Templates at the bottom of the menu shows your templates. Choose a template, choose a Destination and optionally a New project name, and click Use template. Individual tasks are saved as templates with Save as template in the task details.
